Behind the Scenes: Transforming the Hyatt Regency Ballroom for a High-End Awards Event

If you’ve ever been in the Hyatt Regency’s ballrooms in downtown Greenville, you know they’re a clean, versatile space — but on their own, they’re just that: a blank canvas.

Every year, we get the privilege of turning that canvas into something unforgettable for Resurgent Capital Services’ annual awards show. This is no small gathering. Several hundred people fill the combined ballroom spaces, and every square foot is used to its full potential. We don’t just set up equipment in a room — we reshape the room itself, creating an atmosphere that feels more like a high-profile entertainment venue than a hotel ballroom.

From Empty Space to Immersive Experience

When we first walk in, the space is neutral — walls, carpet, ceiling. Functional, but not yet inspiring. That’s when the design process begins. For this event, we brought in staging, professional-grade lighting, high-end sound, a massive LED wall, and multiple projectors. Every element was planned with intention: how the audience would see the stage, where the eye should be drawn during different parts of the program, and how to make the space feel bigger, more dynamic, and more engaging.

Controlling the Focus

An awards show isn’t just a sequence of names being called — it’s a story unfolding in real time. Every camera angle, lighting cue, and visual transition helps guide the audience through that story. In a room with several hundred guests and even more watching online, attention is a resource you have to direct with purpose.

For this event, our job was to make sure that no matter where someone was sitting, their experience felt equally engaging. That meant carefully deciding when the spotlight should stay tight on the award recipient, when to pull back to show the stage in full, and when to let a pre-produced video take over the visual narrative.

We treated the LED wall as the anchor — the place where the most important visual moments lived — and used the projection screens as supporting elements, giving the audience multiple points of connection without overwhelming them. Lighting changes weren’t just functional; they were timed to shift the mood and signal transitions, helping the evening flow naturally from high-energy applause to more heartfelt, reflective moments.

By shaping what the audience saw and when they saw it, we weren’t just managing visuals — we were guiding the emotional rhythm.

Producing the Show, Not Just the Setup

We didn’t just transform the space — we produced the show from the ground up, and that process started months before anyone rolled in a single piece of gear. Long before load-in day, we were already deep in planning with the Resurgent Capital Services team, mapping out the run of show, designing the visual identity, and making sure every moment would land exactly as intended.

The transformation attendees saw on event night actually began in the planning phase. We coordinated and produced video shoots well in advance, gathering the award segments, interviews, and highlight reels that would play throughout the evening. Our graphics team worked on the visual design — everything from lower thirds to animated sequences — to ensure the look and feel of the event was consistent across the LED wall, projection screens, and livestream. Every piece was created with intention, supporting the story of the night rather than distracting from it.

When load-in day arrived, the visual transformation became physical. Staging was assembled, lighting rigs went up, the LED wall was constructed, and projectors were carefully aligned. Our team fine-tuned every element — testing camera shots, adjusting color palettes in the lighting, running content on the LED wall to make sure it popped from every corner of the room.

By the time guests walked through the doors, they weren’t just stepping into a decorated ballroom — they were entering a fully produced, high-end show that had been months in the making.

We never get tired of hearing the client say, “I can’t believe this is the same ballroom.” It’s the best compliment we could ask for — because it means we’ve done more than just set up gear.
